How to improve communication in critical situations at a campsite

A few days ago, we attended the second edition of the Catalonia Campsite Congress. There, one of the topics that resonated most was safety, prevention and the ability to respond to critical situations.

Under the slogan “Nature to enjoy. Safety to trust”, the sector highlighted a very clear reality: in an environment that can sometimes be unpredictable, communicating quickly and transparently is vital to ensuring everyone’s peace of mind at the campsite. Following on from the presentations, we’d like to share some practical ideas with you and reflect on how technology can become a great ally.


The importance of communicating effectively when it matters most


Critical situations at a campsite can range from a sudden change in the weather or a minor technical glitch to evacuations or last-minute cancellations of activities. In such tense moments, simply having protocols tucked away in a drawer is not enough. The real challenge is ensuring that the right information reaches the right person, exactly when they need it.


When communication breaks down, confusion reigns, we lose precious reaction time and a sense of uncertainty grows, both amongst our team and among guests. It is therefore no surprise that more and more campsites are seriously considering how to improve their internal communication and guest service systems.

Throughout our experience working with various campsites, we have realised that it is the little details that make a big difference:


  • Instant access to what matters: In the midst of an emergency, nobody stops to read a notice or look for a document at reception. Having rules, contact details and protocols just a click away on a mobile phone for both staff and guests streamlines things enormously.

  • Clear, straightforward messages: Not everyone needs to know everything. Being able to target alerts (for example, by notifying only a specific area of the campsite or participants in a particular activity) prevents information overload and ensures the message is actually understood.

  • Evacuation plans that are understood at a glance: Maps and plans must be highly visual. If a guest can see exactly what they need to do from their own pitch or bungalow, the margin for error is reduced to a minimum.

  • Real-time response capability: Sending an instant alert with a designated meeting point or precise instructions is what distinguishes simply ‘informing’ from the actual ‘management’ of an emergency.
